We respect your privacy and protect your personal data which you provide to us and which we collect based on this privacy notice (hereinafter – the Privacy notice). Privacy notice describes what data about you is collected by us, where this data is used and with whom and under what conditions this data can be possibly shared with the third parties. We also explain how we store and protect your data against misuse, and what rights you have with regards to the personal data you provide us with.

1. Who is data controller of your personal data?

We are independent, non-profit networking organization representing and uniting Swedish companies operating in Lithuania and international companies working within the Swedish-Lithuanian business.

When we collect personal data directly from you, we act as a data controller.

3. How and why we collect your personal data?

When you are signing up for our event, we may ask you to fill in special form of event registration where you provide us with your personal data.

If you will decide to attend our events, during the events we may photograph and/or make video, sound recordings of you. We use this media in our website, social networks or other communication.

4. From where do we receive data?

We receive information directly from yourself!

 

5. To whom we disclose data and do we transfer data outside the EU or EEA?

Under request of attendee of the event, we share the list of attendees which contains the following information about attendees: name, surname, position and organization represented.

Normally we are organizing events together with our co-operation partners, therefore, we may share personal data with each other by ensuring security of transferred personal data. We also may disclose data to our co-operation partners who do marketing and arrange campaigns and events with and on behalf of us, and who consider themselves as controllers instead of processors working on our behalf (these parties are e.g. social media operators and advertisement networks). Otherwise we do not disclose data to external parties unless required by the laws or an order by the authorities.

We utilize subcontractors that process personal data on behalf of and for us. We have outsourced our IT management to outside service providers on whose administrated and protected servers the personal data is stored.

We may transfer personal data outside the EU/EEA as a part of our operations. When we transfer personal data, we make sure that the personal data in question is appropriately protected and as required by the privacy legislation in force at the time by using the European Commission standard contractual clauses or by ensuring the data importer belongs to the Privacy Shield system.

6. How do we use cookies on this site?

To ensure proper and convenient use of the website, we use the necessary cookies. These cookies do not collect information that would allow to identify the user of the website. You may disable these by changing your browser settings, but this may affect how the website functions.

7. How do we protect the data and for how long do we store the data?

We apply technical and organizational measures to ensure the security of personal data.

Digital data is stored in databases that are protected by firewalls, passwords and other technical measures. Access to our databases is granted to team members in accordance with their responsibilities. The databases and their back-ups are stored in locked facilities and they can only be accessed only by certain pre-designated persons.

Non-digital data is stored in locked facilities, access to such facilities is granted to team members in accordance with their responsibilities. We apply access control measures.

We store the data as long as it is necessary for the purpose of processing the data. We regularly review the need for data storage taking into account the applicable laws (e.g. applicable to storage of documents related to bookkeeping, limitation period for submission of claims in case of data breach, etc.). General rule is that personal data is erased after the period of ten (10) years. Data related to direct marketing activities is processed until further notice.

In addition, we take all reasonable actions to ensure that no incompatible, outdated or inaccurate personal data are stored in the register taking into account the purpose of the processing. We correct or erase such data without delay.

8. What are your rights as a data subject?

You have the right to access the personal data stored in this register concerning yourself, and the right to require rectification or erasure of that data. You also have the right to withdraw your consent where we process your data based on your consent.

You have the right to object to processing or to request restricting the processing, and to lodge a complaint with a supervisory authority.

In connection to your claim, you should identify the specific situation on which you object the processing. We can refuse to act on such request based only on grounds provided by law.

You have the right to object to processing at any time free of charge in so far as it relates to direct marketing.

9. Changes in this Privacy Notice

Should we make amendments to Privacy notice, we will place the amended notice on our websites, with an indication of the amendment date. If the amendments are significant, we may also inform you about this by other means, for example by sending an email or placing a bulletin on our homepage. We recommend that you review Privacy notice from time to time to ensure you are aware of any amendments made.
